Ministry Communications Coordinator

Role Purpose

(Primary Communications Intake: Email, Social Media & Website)

The Ministry Communications Coordinator serves as the first point of contact and communication gatekeeper for Formed Through Fire Ministry. This role manages all incoming ministry communications across email, social media platforms, and the website—ensuring messages are received, sorted, routed, and responded to appropriately without overwhelming leaders.

This role exists to protect clarity, responsiveness, and pastoral integrity by ensuring that every message is seen, nothing important is missed, and leaders are only looped in when truly necessary

Primary Responsibilities

Centralized Communications Intake

Manage and monitor all primary communication channels, including:

  1.       Shared ministry email inbox

  2.       Social media direct messages (FB, IG, etc.)

  3.       Comments that require response, moderation, or follow-up

  4.       Website contact forms or inquiries

Responsibilities include

●      Reading and triaging incoming messages

●      Identifying message type (administrative, pastoral, event-related, content-related, outreach, etc.)

●      Determining appropriate response pathway

Response, Routing & Escalation

●      Respond directly to routine or administrative messages when appropriate

●      Route messages to the correct leader, coordinator, or role when needed

●      Escalate messages requiring

○ Pastoral sensitivity

○ Leadership discernment

○ Confidential handling

●      Maintain discretion and good judgment in what is escalated vs. handled

Internal Communication & Follow-Ups

●      Send reminder messages to leaders regarding:

○ Upcoming events

○ Content deadlines

○ Required responses or follow-ups

●      Track open communication loops to ensure nothing stalls or disappears

●      Maintain simple records of communications and outcomes

  Social Media & Website Communication Oversight

●      Serve as the first-line responder for:

○      Social media comments and messages

○ Website inquiries

●      Like, acknowledge, or reply to comments where appropriate

●      Flag Messages needing pastoral care:

○ Sensitive or concerning communications

○ Moderation issues

Role Boundaries

This role does not:

●      Create original teaching or content

●      Post scheduled content (unless explicitly assigned)

●      Decide ministry direction or priorities

●      Provide counseling or pastoral care

●      Manage fundraising or partnership

This role filters, responds, and routes — it does not carry authority beyond communication stewardship.
